Terms & Conditions
Terms & Conditions
Introduction
These Terms and Conditions govern the relationship between Irish Pro Golf Tours Limited (“IPGT”, “we”, “us”, “our”), a company incorporated in Ireland, and any individual or group (“the Client”, “you”, “your”) who engages IPGT to arrange golf travel, accommodation, transportation, tee times, or any related services.
Payment of any deposit to IPGT constitutes your unconditional acceptance of these Terms in their entirety, on behalf of yourself and all participants for whom the deposit is paid. Please read carefully before making any payment.
Deposits & Final Payment
1.1 Booking Deposit
A non-refundable booking deposit of 25% of the total tour cost is required to confirm your reservation. No booking is confirmed until the deposit is received and a written confirmation is issued by IPGT.
The revised Directive limits advance payments to a maximum of 25% of the package price except in justified circumstances. Our standard 25% deposit aligns with this ceiling.
1.2 Balance Payment
The full balance is due 60 days prior to your arrival date. Failure to remit the balance by the due date may be treated as a cancellation, and the schedule in Section 2 will apply.
1.3 Accepted Payment Methods
- Cheque — payable to Irish Pro Golf Tours Limited
- Bank/Wire Transfer — banking details provided on invoice
- Bank Draft
- Credit Card — Visa, Mastercard, and American Express accepted. An administration charge of 2.5% is levied on all credit card transactions. Debit card payments are processed without surcharge.
All prices quoted are in Euro (€) unless otherwise stated.
Cancellation Policy
2.1 Cancellations by the Client
All cancellations must be notified in writing — by email to info@ipgt.com. Cancellations are effective only upon written acknowledgement from IPGT. The following charges apply per person:
| Notice Period Before Arrival | Cancellation Charge (per person) |
|---|---|
| More than 60 days | Loss of non-refundable deposit only |
| 60–31 days | 30% of total holiday cost + the deposit |
| 30 days or fewer | 100% of total holiday cost (no refund) |
Changes Requested by the Client
After a booking deposit has been received and a confirmation issued, changes to the itinerary requested by the Client are subject to the following conditions:
- An administration fee of €25 per change, per person applies to all amendments.
- Changes may not be made within 45 days of the travel date without the express written approval of IPGT.
- Changes may incur additional costs imposed by third-party suppliers, passed on in full to the Client.
- IPGT will endeavour to accommodate all reasonable change requests but cannot guarantee availability.
- Where a requested change cannot be accommodated and the Client wishes to cancel, the cancellation policy in Section 2 applies.
Name corrections (spelling errors) are free of charge at any time. Name substitutions within 45 days of departure are subject to a €25 administration fee plus any costs imposed by the relevant golf club or hotel.
Force Majeure & Extraordinary Events
4.1 Weather and Golf Course Conditions
Ireland and the UK experience variable weather conditions throughout the year. Golf courses operating on links terrain may be closed or restricted at short notice due to flooding, frost, or Committee decisions. IPGT accepts no liability for rounds of golf that cannot be played due to course closures. IPGT will make all reasonable efforts to arrange substitute tee times at comparable courses but cannot guarantee this in all circumstances.
Alterations Made by IPGT
IPGT reserves the right to alter, amend, or substitute elements of an itinerary where necessary.
5.1 Minor Changes
A minor change does not materially affect the overall character of the package and does not entitle the Client to cancel without standard charges.
5.2 Significant Changes
Where IPGT must make a significant change, the Client will be offered: (1) accept the revised arrangements; (2) accept an alternative package of equal or superior quality; or (3) cancel and receive a full refund of all payments made within 14 days.
5.3 Comparable Substitutions
In all cases of substitution, IPGT will endeavour to provide accommodation, golf, and transport of comparable or higher quality at no extra cost.
Unused Portions of an Itinerary
No refunds will be made in respect of any element of a booked itinerary not used by the Client, for any reason including personal illness, early departure, voluntary non-participation, missed tee times, or club rules violations.
Travel Insurance
IPGT strongly advises all clients to arrange comprehensive travel insurance before making any payment.
At a minimum, we recommend cover for: cancellation & curtailment; medical expenses and repatriation; golf equipment; personal accident; missed tee times due to flight delays; and personal liability. EU clients should carry their European Health Insurance Card (EHIC).
Car Hire Conditions
Where car hire is included, the lead driver must be a minimum of 23 years of age with a full valid licence. Quoted prices include unlimited mileage, CDW, and VAT. Prices exclude fuel, additional driver fees, tolls, parking, and fines. Driving in Ireland is on the left-hand side of the road. IPGT accepts no liability for traffic violations or accidents arising from client use of a hired vehicle.
Limited Power of Attorney
You hereby appoint authorised agents of IPGT to act as your attorney-in-fact for the limited purpose of signing reservation documents with suppliers on your behalf and making reasonable operational decisions during your tour where you are unreachable. This power is strictly limited to actions directly related to the fulfilment of your booked itinerary.
General Disclaimer
IPGT shall not be held liable for: loss or damage caused by third-party suppliers; inconvenience or loss of enjoyment; delayed departures attributable to third parties; double bookings by suppliers; or losses arising from quarantine, health emergencies, strikes, weather, or Acts of God not attributable to IPGT’s direct fault.
Nothing in this clause limits IPGT’s liability for death or personal injury caused by IPGT’s own negligence.
Handicap Requirements & Golfing Standards
11.1 Handicap Certificates
All golfers must hold a current, valid official handicap index under the World Handicap System or recognised equivalent. Handicap evidence must be available for presentation on request at any golf club on the itinerary.
11.2 Club Handicap Limits
| Course Standard | Typical Limit (Male) | Typical Limit (Female) |
|---|---|---|
| World Top 10 (e.g., Royal County Down) | 24 or lower | 36 or lower |
| Championship Links (e.g., Ballybunion, Lahinch) | 28 or lower | 36 or lower |

11.3 Standard of Play
Clients agree to maintain an appropriate pace of play. Golf clubs reserve the right to request a golfer withdraw if club rules are breached.
Caddies, Golf Carts, & Buggies
12.1 Caddie Availability
Caddie requests must be submitted at least 30 days before play. Availability cannot be guaranteed until 48–72 hours prior. Caddie fees are payable directly to the caddie. Standard gratuity at championship courses is approximately €20–€40 per bag.
12.2 Golf Carts (Buggies)
Many links courses do not permit motorised buggies. Where available, buggy fees are payable locally. A medical certificate may be required for visitors with mobility impairments.
Golf Course Safety & Personal Liability
13.1 Inherent Risks
Golf involves inherent risks including being struck by a golf ball and uneven terrain. Clients acknowledge these risks and confirm voluntary participation.
13.2 Client Responsibility
All Clients are responsible for observing the Rules of Golf and course safety protocols. IPGT accepts no liability for injury sustained by or caused by a Client on any golf course.
13.3 Golf Equipment
Golf equipment is the sole responsibility of the Client. IPGT’s maximum liability for loss or damage caused by IPGT’s proven negligence shall not exceed €500 per Client per incident.
Limitation of Liability
IPGT’s total liability to any Client shall be limited to the total price paid by that Client for the package that gave rise to the claim.
Nothing in these Terms limits IPGT’s liability for death or personal injury arising from IPGT’s own negligence or any liability that cannot lawfully be excluded under applicable Irish or EU consumer protection legislation.
